Privacy Policy for FamilyZenAI
This Privacy Policy describes how FamilyZenAI ("the app") handles information when you use the Android application package com.familyzenai.app.
Overview
FamilyZenAI helps parents and caregivers turn family logistics into calendar events and reminders. You can add selected text, screenshots, photos, or voice transcripts, review an AI-prepared suggestion, and then save, edit, remind, export, or synchronize it.
The AI workflow is limited to preparing calendar event or reminder suggestions. The app is not a general chatbot and is not intended to answer arbitrary prompts or provide advice.
On first launch, the app shows a one-time privacy and data-processing notice. You must acknowledge it before using the main workflow. The same privacy policy link remains available from the app settings.
Do not submit information that you do not want processed for calendar event or reminder extraction.
Short legal summary
FamilyZenAI provides app functionality for organizing events, reminders, family schedules, and connected calendars. You are responsible for the text, photos, screenshots, voice transcripts, event details, family information, calendar data, and other content that you choose to submit, store, synchronize, or share through the app. Upload or share content only if you have the right and permission to use it for that purpose.
The app uses reasonable technical safeguards described below, including HTTPS, platform secure storage, cloud provider security controls, and local encryption where implemented. These safeguards reduce risk but do not make any electronic system impossible to compromise. Nothing in this policy limits legal rights that cannot be limited by law.
Information you provide or create
- selected text, voice transcripts, screenshots, and photos you choose to scan for event or reminder extraction;
- event details such as title, description, date, time, category, recurrence, assignee, participants, and reminder settings;
- family member names, emoji/color labels, family invite codes, and shared family event records when family sync is enabled;
- app-created event records associated with your FamilyZenAI profile when cloud profile sync is available;
- local event-chat messages attached to events, templates, settings, and local briefing/cache records used by the app;
- account identity details returned by Firebase, Google Sign-In, Microsoft/Outlook sign-in, or Sign in with Apple, such as user id, display name, email address, and linked provider state;
- Google Calendar or Microsoft/Outlook calendar connection metadata, selected calendar sources, selected save destinations, remote event identifiers, sync links, and provider permissions if you enable calendar sync;
- purchase tokens, product identifiers, entitlement state, and hashed device identifiers used to verify and limit Google Play subscription access when subscriptions are enabled.
Your responsibility for submitted and shared content
You decide what content to enter, scan, attach to events, synchronize to calendars, or share with family members. Do not upload, scan, or share other people's personal data, photos, documents, child-related information, medical details, school records, financial details, or other sensitive content unless you have the necessary rights, authority, and consent.
If you invite family members, assign events, connect Google or Microsoft/Outlook calendars, add participants, or export/copy events to third-party services, the recipients and providers may process that data under their own settings and terms. FamilyZenAI is not responsible for content that you choose to disclose to other users, family members, calendar providers, email clients, device services, or other third parties, except to the extent required by applicable law.
AI processing
When you choose to scan content, selected text, voice transcripts, and selected images may be sent over HTTPS to the FamilyZenAI backend and OpenAI so event or reminder details can be extracted. The expected AI result is a structured calendar event or reminder draft for your review.
The mobile app does not contain the OpenAI API key. Backend requests are authenticated with a Firebase ID token, protected with Firebase App Check on production Android builds using Google Play Integrity where supported, and limited by per-user, per-IP, and abuse-prevention quotas.
Before every camera or gallery scan, the app asks you to acknowledge that the selected image may be processed by the FamilyZenAI backend and OpenAI. Do not upload photos, screenshots, or documents unless you have the right to use them for this purpose. Avoid uploading unnecessary sensitive documents or child photos. The app is not designed to identify people in images or infer sensitive personal attributes.
In supported fallback environments, some image analysis may run on the device through local OCR or image labeling. Regardless of mode, the app shows an editable suggestion and asks you to confirm before saving the event.
AI suggestions can be incomplete or incorrect. FamilyZenAI does not provide legal, medical, financial, emergency, or safety-critical advice. You are responsible for reviewing and editing suggestions before saving or acting on them.
Local storage
The app stores confirmed events, family members, settings, templates, Google Calendar or Outlook sync links, subscription state, local cache records, and local chat history on your device. Sensitive local records use the app's encrypted local storage or platform secure storage where available.
Cloud sync and third-party services
- Firebase Authentication is used for anonymous sessions and optional Google, Microsoft/Outlook, or Apple account linking where available.
- Firebase Firestore is used for optional profile cloud sync of app-created events and for optional family cloud sync, so invited family members can restore family workspaces, share events, and share member labels.
- Firebase App Check and Google Play Integrity help verify app authenticity for backend requests on supported Android devices and may process technical app/device integrity signals.
- Google Calendar API is used only if you connect Google and enable calendar sync. The app may read, create, update, move, copy, or delete calendar event metadata according to the source, destination, and sync action you choose.
- Microsoft/Outlook calendar services may be used only if you connect a Microsoft account and enable Outlook calendar sync. The app processes calendar metadata according to your selected sources and provider permissions.
- Google Play Billing is used to process purchases, restore purchases, and resolve subscription entitlement state.
- OpenAI may process submitted text, voice transcripts, or selected images through the FamilyZenAI backend for event or reminder extraction.
Calendar aggregation, selected destinations, and account linking
FamilyZenAI is designed to act as an event aggregator for selected local, family, Google Calendar, and Microsoft/Outlook calendar sources. Connected external events may be shown together in the app so you can review details, conflicts, source account, source calendar, and available actions.
Creating an event in FamilyZenAI does not automatically copy that event into every connected calendar. Events are exported only to the calendar destination you select. If you do not select a Google or Outlook calendar destination, the event is saved in FamilyZenAI and, when cloud profile sync is available, in the app backend profile storage. Imported Google or Outlook events are not exported into other connected calendar sources unless you explicitly choose an action such as copy or move.
A local FamilyZenAI profile may begin as an anonymous/device session. If you later link Google, Microsoft/Outlook, or another supported account, that account becomes the preferred way to restore your FamilyZenAI profile, app-created events, and eligible family workspace state on another device. Pure local-only use without a linked account may not be recoverable after app deletion, device reset, or device loss.
Purchases, restore, and device limits
Pro subscriptions are processed by Google Play Billing. When you buy or restore Pro, FamilyZenAI may send the Google Play product id, purchase token, Firebase user id, and a hashed device/install identifier to the FamilyZenAI backend so the subscription can be verified server-side and restored for the same eligible account.
Pro entitlement is intended for the purchasing account and is limited by the app backend to a small number of active devices. The current FamilyZenAI server policy allows the same verified Google Play subscription entitlement to be active on no more than two devices at the same time. Family membership does not automatically grant Pro to other devices, and joining a family does not require Pro.
Privacy notice consent records
On first launch, and again after material privacy-policy updates where required, the app may require you to accept the privacy notice before using the main workflow. The app records your privacy choice in the FamilyZenAI backend using your Firebase user id when available, a hashed device/install identifier when available, the policy version, the policy URL, the locale, platform, and timestamp. This record is used to demonstrate that the disclosure was shown and to prevent bypassing required privacy notices.
If you do not accept the required privacy notice, the app closes and the main workflow is not made available. You can later reopen the app and review the policy again.
Permissions used by the app
- Camera to capture a new photo that you choose to scan.
- Microphone to capture speech for voice input when you choose that feature.
- Photos/media access through Android system pickers to select images or screenshots for scanning.
- Notifications to show local reminders for confirmed events.
The app does not request background location, precise location, SMS, call log, or contacts permissions.
Data sharing
The developer does not sell your personal data. Data is shared with service providers only as needed to operate the features described in this policy, such as AI extraction, account authentication, optional family sync, optional Google Calendar sync, and subscription billing.
If you add email participants to an event or export/sync an event to a calendar provider, that event metadata may be processed by the calendar provider according to your account settings and that provider's terms.
Data retention and deletion
Local app data remains on your device until you delete it, clear app data in Android settings, or uninstall the app. Firestore profile sync data for app-created events may remain associated with your linked Firebase, Google, Microsoft/Outlook, or other supported account until deleted or until you request deletion. Firestore family sync data remains in the family workspace until members remove events, remove family data, or leave/delete the family where supported.
The mobile app does not intentionally keep raw selected photos after a scan completes. Event drafts, confirmed event metadata, local cache records, and synced family records may remain as described in this policy.
Purchase records are handled by Google Play Billing and may remain associated with your Google account according to Google Play terms. FamilyZenAI backend entitlement records may retain purchase verification state and hashed active-device identifiers while needed to provide purchase restore, prevent duplicate entitlement abuse, and enforce device limits.
AI provider retention and abuse-monitoring controls follow the provider account settings and applicable provider terms.
To request account or cloud data deletion, use the developer support contact listed on the Google Play store page for FamilyZenAI. Include the Firebase/Google account email used in the app if available.
Children
FamilyZenAI is intended for parents and caregivers, not for direct use by children under 13. The app may contain family schedule details about children if a parent or caregiver enters them. Do not invite children to submit personal information directly through the app, and avoid uploading photos of children unless they are necessary for the chosen event-extraction task and you have the appropriate permission.
Security
The app uses HTTPS for backend communication, Firebase ID tokens for backend authorization, Firebase App Check with Google Play Integrity where supported for production Android backend calls, server-side secret storage for AI credentials, request quotas, and local encryption or platform secure storage for sensitive local app records. No method of electronic storage or transmission is completely secure, but the app is designed to limit unnecessary collection and exposure.
Calendar provider tokens and backend credentials are not stored as plain text in the mobile app. Local app records, cloud family sync records, and third-party provider records may be protected by different layers depending on where they are stored. Unless a feature explicitly says otherwise, shared family and calendar sync data should not be treated as end-to-end encrypted from all service providers.
Service limits and liability
FamilyZenAI is provided to help manage family schedules. It is not a backup service, emergency service, legal advisor, medical provider, financial advisor, school authority, or calendar-provider replacement. You should verify important dates, locations, reminders, sync status, invite recipients, and AI-prepared suggestions before relying on them.
To the fullest extent permitted by applicable law, the developer is responsible for providing and maintaining the app functionality described in this policy, but is not responsible for user-submitted content, decisions made from AI suggestions, content shared by users with family members or third-party services, calendar-provider outages, device-level compromise, account compromise, or incidents outside the developer's reasonable control. If a security incident occurs, the developer will handle legally required notices and remediation steps according to applicable law.
Changes to this policy
This Privacy Policy may be updated from time to time. Material updates will be reflected on this page by changing the "Last updated" date.
